Rainbow Diversity Institute ("RDI", "We", "Us", "Our") operates learn.rainbowdiversityinstitute.ca (the "Site"), the online learning platform of the RDI IDEA™ Academy. This policy explains what personal information We collect through the Site, how We use it, and the choices you have. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.

1. Information we collect

Enquiry information. When you submit our enquiry form, We collect the details you provide, such as your name, work email address, organization, role, the courses or programs you are interested in, approximate number of seats, preferred timing, and any notes you include.

Learner account information. When your organization licenses access and We create learner accounts, We collect and hold each learner's name, work email address, and sign-in credentials, together with learning records such as course progress, knowledge check results, completion status, and any Certificate of Completion issued.

Technical information. When you use the Site, the platform collects limited technical and usage data, such as device and browser type, pages visited, and session activity. Some of this is collected through cookies; see our Cookie Policy.

2. How we use personal information

  • To respond to enquiries and manage the licensing relationship with your organization;
  • To create and administer learner accounts and deliver courses and programs;
  • To track course progress and completion, and to issue Certificates of Completion;
  • To report enrolment and completion information to the organization that sponsors a learner's access, where that is part of the licensing arrangement;
  • To maintain the security of the Site and improve our courses and services;
  • To send service communications, and, with consent, occasional updates about our courses and programs in accordance with Canada's Anti-Spam Legislation (CASL). You may unsubscribe from marketing messages at any time.

3. How personal information is shared

We do not sell personal information. We share it only as follows:

  • Service providers. The Site runs on the LearnWorlds e-learning platform, which hosts the Site and processes learner data on Our behalf under its own contractual and security obligations. Information may be stored on servers located outside Canada, where it may be subject to the laws of those jurisdictions.
  • Sponsoring organizations. Where a learner's access is provided through an organizational licence, We may report that learner's enrolment, progress, and completion to the sponsoring organization.
  • Legal requirements. We may disclose information where required by law, regulation, or valid legal process, or to protect Our rights, users, or the public.
  • Business changes. If Our business is reorganized or transferred, personal information may be transferred as part of that change, subject to this policy.

4. Retention

We keep personal information only as long as needed for the purposes above, including maintaining completion and certification records for the period required by the licensing arrangement, and to meet legal and accounting obligations. Information that is no longer needed is deleted or anonymized.

5. Safeguards

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls and encrypted connections to the Site. No system is completely secure; please keep your account credentials confidential.

6. Your rights and choices

Subject to applicable law, you may request access to the personal information We hold about you, ask Us to correct it, or withdraw consent to certain uses. Learners whose access is sponsored by an organization should note that enrolment and completion reporting to that organization is part of the licensing arrangement. To make a request, contact Us as set out below; We will respond within the timelines required by PIPEDA.

7. Children

The Site is intended for professional learners and is not directed at children. We do not knowingly collect personal information from children.

8. Changes to this policy

We may update this policy from time to time. The version posted on the Site, with its "Last updated" date, is the current policy. Material changes will be highlighted on the Site or communicated through the licensing relationship.
